Webelieve that by establishing a solid foundation of knowledge, understanding andtrust with each of our patients, we enrich their health and enhance theirlives.Summary of PositionUnder general direction performs expandedand advanced level medical secretary duties including but not limited toperforming outreach to patients regarding referrals and follow up appointments,assisting with the checkout function, and entering data for and distributingafter visit summaries (AVS). Participatesas an integral member of a medical team and is dedicated to deliveringexcellent customer service and strengthening the patient/clinicianrelationship. Able to use a high level of competency in performing all medicalsecretary functions. Reports to department supervisor or designee.Essential Functions* Acts as a role model for othersupport staff and demonstrates a high level of competency in medical secretaryresponsibilities.* Proactively identifies issues andconcerns and works to resolve them in areas involving patient satisfaction,patient flow, and compliance with procedures and guidelines. Advocates forpatients as appropriate.* Identifies and assists inresolving operational difficulties and communicates with supervisor regardingdepartment issues and problems as necessary. Demonstrates a high level ofcompetency when handling difficult phone calls and dealing with complex issues.* Makes outreach to patientsregarding referrals, scheduling appointments, processing paperwork, andobtaining authorization numbers.* Runs reports from automatedappointment confirmation system. Confirms appointments and follows through oncancellations. Reconciles system information with the electronic medical recordas needed.* Handles patients and third partyrequests (e.g., worker's compensation, government and social service agencies)for documentation of medical information, such as health status, worker'scompensation related care, and return to work authorizations.* Completes forms needed for visitsand submits to MD for review. May need to review patient record for missinginformation. Verifies prior authorizations.* Submits prescription refills.Understands authorization forms and processes.* Functions as a Share MedicalAppointment (SMA) documenter if needed.* Prepares and maintains departmentschedules.* Develops and monitors providerappointment templates. Under supervisor direction, makes adjustments totemplates and coordinates rescheduling of patients. Prepares and distributesdepartment clinical schedule. Works with supervisor on coverage issues.* Participates in care improvementactivities as expected, such as Rapid Improvement Events (RIEs), Value StreamAnalyses (VSAs), and Managing of Daily Improvements (MDIs).* Assists with data collectionactivities for statistical reports or required studies, ensuring data isproperly collected and accurate (e.g. no show reports, telephone statistics).Completes paperwork to obtain information from or provide information to outsidedoctors, hospitals, health or social service agencies. Participates in specialprojects and ongoing programs unique to the department.* Trains and orients new staff asneeded. May also be involved in interviewing and on-boarding of new staff.* Provides back-up coverage forother support staff as necessary.* Takes notes and distributesmeeting minutes.* May represent department on groupsand teams related to upgrades of the electronic medical record.Minimum RequirementsEducation: High School graduate (or equivalent education, training orexperience) required. Associate's degree in medical assisting or graduate ofcertification in medical office administration program preferred.Skills and Experience: Skills and experience typically acquired through at leastthree years of experience in a clinical setting with at least one as a MedicalSecretary. Able to communicate in a professional and appropriate manner. Stronginterpersonal, customer service, time management, and organizational skillsrequired. Computer experience required with the ability to use word processingand spreadsheet programs. Electronic medical record (EMR) experience preferred.Working knowledge of patient related documents preferred.Working ConditionsBusy office environment withfrequent deadlines and interruptions and with extended periods of time sittingand answering phones.
